Context

Running a company well is a team effort. But behind every smooth onboarding, every well-tracked vendor contract, and every team event that goes without a hitch, there's someone who made it happen.

That's the role we're building.

Vizzia is growing fass. Our headcount is scaling with it. And the operational infrastructure that supports our teams — HR administration, office management, vendor relationships, financial tracking — needs a dedicated owner who takes pride in keeping things clean, structured, and running without friction.

Reporting to Laura Deffarge (VP People), you'll be the operational backbone of our Paris office. You'll own our relationships with key vendors (Patchwork, NowBrain for IT, Flease for our car fleet), keep our HR and payroll data accurate in Silae, and maintain tight financial tracking in Pennylane. You'll work hand-in-hand with People, Finance, and every employee who needs something fixed, ordered, or organized.

This is a hands-on, ownership-heavy role for someone who finds satisfaction in making complexity disappear.

What You'll Do

1. HR Administration

  • Own payroll data entry and employee file maintenance across Silae, our HRIS and Google Drive

  • Coordinate onboarding logistics end-to-end: equipment setup, access provisioning and first-day welcome

  • Manage offboarding cleanly: equipment retrieval, account deactivation, administrative wrap-up

  • Be the go-to for employee requests related to IT, vehicles, and office needs

2. Financial Administration

  • Handle analytical cost allocation in Pennylane

  • Collect and process invoices, track pending payments, and follow up proactively on outstanding items

  • Maintain a clear, up-to-date view of operational spend across office, IT, and fleet budgets

  • Support Finance with ad hoc admin tasks as needed

3. Office Management & Vendor Relations

  • Manage relationships with our key vendors: Patchwork (office services), NowBrains (outsourced IT), and Flease (car fleet)

  • Track contracts, renewal deadlines, and operational budgets — before anyone has to chase them

  • Handle equipment orders, deliveries, IT asset inventory, and phone fleet management

  • Keep the office functioning and comfortable: a place people actually enjoy coming to

4. Team Life & Internal Operations

  • Coordinate internal communication on office topics, logistics, and upcoming events

  • Support the logistics and organization of quarterly company events (Vizzia Days)

  • Identify process improvements and flag inefficiencies early — before they become problems

  • Contribute, over time, to extending our operational model to the UK as we expand internationally

Who You Are

  • You have 2–4 years of experience in an administrative, office management, or operations support role — ideally in a startup or scale-up

  • Reliability isn't just a trait for you — it's a reflex: deadlines, details, and commitments are things you simply don't miss.

  • You're comfortable with IT coordination: managing a hardware inventory, working with an IT outsourcing partner

  • You're happy rolling up your sleeves for hands-on tasks: picking up a delivery, setting up a screen, chasing a vendor. That's part of the job, and you're genuinely fine with it

  • You handle HR and financial data with discretion — not because you're told to, but because it's obvious

  • You're Paris-based and comfortable being on-site most of the week — this is an in-person, operational role by nature
