We are looking for a highly organised and energetic Production Assistant to become the operational backbone of Numa’s photo production team. You’ll be on the ground in our most beautiful properties, solving production questions in real-time and working directly with creatives to bring our brand to life. Based in Berlin and reporting directly to the Executive Photo Producer. You will work to execute all shoot planning tasks to the highest standard, while always looking for ways that processes can improve our property shoots. This is the ideal position for someone looking to grow in a production focused role with ample ownership.

About the role:

  • Coordinate end-to-end logistics for property photoshoots, including project board setup, crew travel, and accommodation across our European markets.
  • Act as the primary on-site "fixer," providing hands-on support during shoots to manage crew transport, catering, and any immediate logistical needs.
  • Own prop and equipment management, from maintaining the central prop inventory and preparing technical gear to handling the packing and shipping of kits for remote shoots.
  • Assist with set styling and digital captures, supporting the creative crew with room preparation and guest-facing Matterport scans.
  • Oversee the post-shoot wrap-up process, ensuring all digital assets are organised, final files are delivered, and props are returned and accounted for.
  • Support production administration by tracking freelancer invoices, managing expense accounts, and maintaining an efficient digital filing system.
  • Facilitate cross-functional communication, acting as a bridge between the production team and local property managers to ensure all project requirements are met.

About you:

  • Experience: 1–2 years in a production environment (photo, film, or events).
  • Organisation & Logistics: Proven ability to manage travel, shipping, and scheduling for teams. You always stay on top of your tasks and have a way of keeping track so nothing gets missed.
  • Tech Savvy: Comfortable with Google Suite & Miro. Not intimidated by learning how to use new tools and forward thinking in your use of AI. Your file management is to a high standard.
  • Communication: A big part of this role is communication. You need to be able to clearly communicate with internal and external stakeholders in a calm and efficient manner.
  • The Traveller: You genuinely enjoy being on the move. Frequent travel to Numa properties across Europe is a highlight for you, not a burden.
  • Languages: You are fluent in English at a business level; additional languages are a bonus
  • Styling Eye: A natural sense of aesthetics and attention to detail in interior spaces is a big plus. We’re a creative team, and love to have strong creative voices within the team!
  • Solution-Oriented Mindset: You don't wait for instructions when a problem arises. You find a workaround and keep the shoot moving.
  • Calm: You maintain a positive, steady energy even when schedules are tight and the pressure is on.
