Your Mission
As a Payroll Specialist at Numa, you will play a key role in ensuring our global team is paid accurately, compliantly, and on time. Working closely with our Global Payroll Manager, you will support monthly payroll processing across a growing population of ~500 employees in 14 European countries. This role is ideal for someone detail-oriented, proactive, and excited to deepen their expertise in international payroll within a fast-scaling environment.
Your Responsibilities
Payroll Operations Support
- Support the Global Payroll Manager in preparing monthly payroll inputs for ~500 employees across 14 European countries, ensuring accuracy and timeliness.
- Handle standard payroll tasks such as updates to salary changes, bonuses, time and attendance data, and deductions.
- Assist in coordinating payroll calendars and tracking deliverables with third-party payroll providers, EOR partners, and contractor platforms.
- Review payroll outputs, flag discrepancies, and help ensure data consistency between HRIS and payroll systems.
Support coordination with shift planning tools where relevant.
Employee Support
- Serve as the first point of contact for employee payroll and tax questions, providing timely, clear, and helpful guidance.
- Support onboarding and offboarding processes from a payroll perspective, ensuring payroll-relevant data is correctly captured.
- Communicate proactively with employees about payroll timelines, changes, or required documentation.
Data Accuracy & Compliance
- Maintain high-quality employee data in our HRIS (Personio) and ensure all payroll-relevant information is complete, structured, and up to date.
- Conduct regular data audits to ensure accuracy between HRIS and payroll systems.
Help ensure compliance with local labor, tax, and social security regulations across multiple countries. - Keep documentation organized and up to date to support audits, legal requirements, and internal controls.
Process Improvement & Documentation
- Assist in documenting payroll processes, workflows, and standard operating procedures.
Identify opportunities to streamline and automate workflows, contributing to a culture of continuous improvement. - Participate in payroll- and people-related projects, such as tool updates, process optimizations, or new-country rollouts.
Cross-Functional Support
- Collaborate with Talent Acquisition, People Operations, Finance, and Legal teams to support reporting, budgeting, audits, and data requests.
- Contribute to HR-related administrative tasks as needed, such as benefits administration or employee data management.
About You
Experience & Skills
- 3–4 years of experience in payroll processing—ideally in a multi-country European environment.
- Strong experience with German payroll is required; additional European markets are a plus.
- Solid knowledge of German payroll regulations, taxes, and social security rules.
- Familiarity with HRIS systems (Personio preferred) and time-tracking tools; strong Excel skills.
- Exceptional attention to detail and a methodical approach to handling sensitive data.
- Strong problem-solving skills—you can spot inconsistencies and follow through to resolution.
Communication & Mindset
- Excellent written and verbal communication skills in English; German is strongly preferred.
- Comfortable working in a fast-growing, fast-changing environment with shifting priorities.
- A collaborative team player who enjoys partnering with stakeholders and supporting employees.
